Construction closeout has a standard set of deliverables, but every project has specific items required by the contract. Start by generating a comprehensive checklist.
"Generate a comprehensive construction project closeout checklist for a [project type] project. Include: required submittals (as-built drawings, O&M manuals, warranties, attic stock), owner training requirements, final inspections, punch list process, certificate of occupancy, lien release process, final payment application, and any government reporting requirements. Format as a checklist with responsible party (GC, Sub, Owner, Architect)."
What you get: A 2-3 page checklist you can use as your closeout tracking document. Add project-specific items you know are in your contract.
You need to collect submittals from all your subcontractors and consolidate them for the owner. Generate a distribution matrix:
"Create a construction closeout submittal matrix for a project with these major trades: [list your trades — concrete, steel, roofing, MEP, glass/glazing, finishes, etc.]. For each trade, what closeout documents are typically required (warranties, O&M manuals, as-built drawings, attic stock, certifications)? Format as a table."
Use this to send written requests to each subcontractor.

Most commercial projects require the GC to coordinate system training by the MEP subcontractors. Generate the training agenda:
"Write a building systems training agenda for the owner and their facilities team. Systems to be trained: [list MEP systems — HVAC controls, fire alarm, plumbing, electrical distribution, access control, etc.]. Format as a half-day training schedule with time allotments, responsible parties (which sub conducts which training), and what documentation will be provided."
Many owners want a final project narrative for their records. This is usually last on the PM's to-do list and never gets done. Do it now:
"Write a 2-page final project summary report for the owner's records. Project: [name]. Project type: [type]. Size: [square footage]. Contract value: [amount]. Duration: [months]. Brief narrative covering: project highlights, challenges overcome, key team members, final cost vs. budget, and a sentence about the long-term value of the building."
Closeout checklist: "Generate a construction closeout checklist for [project type]. Include all required submittals, inspections, and owner turnover items with responsible parties."
Warranty tracking table: "Create a warranty tracking table for these systems: [list systems]. Include: warranty period, who is responsible for warranty service, contact information columns."
Subcontractor closeout request: "Write a professional email to all subcontractors requesting their closeout submittals. Include: list of required items, submission deadline, format requirements, and what happens if not submitted."
Owner training schedule: "Create a half-day building systems training schedule for [list systems] with time allotments and responsible parties."
