What you'll accomplish

By the end of this guide, you'll have a workflow for converting dense specification language into clear, one-page field instruction sheets that trade foremen will actually read and use — in any language your crew speaks.

What you'll need

  • Claude free (claude.ai) or ChatGPT free — no paid subscription required for this use case
  • Your project specifications (PDF or copy-paste text)
  • A printer or PDF sharing app to distribute to foremen
  • Time needed: 20 minutes per spec section
  • Cost: Free

How-To Guide: Translate Technical Specifications into Field Instructions

Step 1: Identify which spec sections need field translation

Not every spec section needs a field instruction sheet — focus on the ones where misunderstanding causes the most rework or safety risk:

High priority sections to translate:

  • Division 03 (Concrete): Mix designs, finishing tolerances, curing requirements, cold weather
  • Division 07 (Roofing, Waterproofing, Joint Sealants): Installation sequence, lap requirements, substrate prep
  • Division 09 (Drywall, Flooring, Tile, Paint): Surface prep requirements, joint treatments, tolerances
  • Division 26 (Electrical): Equipment clearances, wire sizing, conduit fill, arc flash labeling
  • Division 15 (Mechanical): Pipe hangars, insulation, testing requirements
  • Any section with strict inspection or testing requirements
