What you'll accomplish
By the end of this guide, you'll have a structured lessons learned report that captures what went right and wrong on your project — generated from your actual project data (change order log, RFI log, schedule impacts, cost variances) with Claude doing most of the analytical work.
What you'll need
- Claude Pro (claude.ai — $20/month) or Claude free (for shorter documents)
- Export from Procore: change order log, RFI log summary, cost variance report
- Your personal notes on major project events
- Time needed: 45-60 minutes at project close
- Cost: Free Claude works for most projects; Claude Pro handles larger data exports better
How-To Guide: Generate a Lessons Learned Report from Project Data
Step 1: Export your project data
Before writing lessons learned, gather your actual project data:
From Procore:
- Export the Change Order Log (shows all approved changes, amount, and reason/category)
- Export the RFI Log with response time data (shows how long RFIs took, who was responsible)
- Export the Submittal Log with status history (shows overdue submittals and review times)
From your schedule:
- Export a summary showing planned vs. actual completion for each major phase
From your budget:
- Export final budget vs. actual cost by trade
Save each export as a PDF or copy the key data into a text document.
